Safer Handling
From manual processes to smooth automation. Safer Handling needed to move beyond an N8N-based setup that still relied on a lot of manual work. We built them a custom forms platform with fully editable fields, connected directly to Xero, Gmail, Kajabi and their own staff training allocation software. The result is a smoother, automated workflow that gives the team far more visibility over every enquiry and booking.
Safer Handling deliver specialist training, and behind every course sits a chain of admin: enquiries coming in, invoices going out, course access being granted and trainers being allocated. Their previous setup stitched these steps together with N8N workflows, but too much of the process still depended on manual intervention. Data had to be checked, copied and chased between systems, and it was hard to see at a glance where any enquiry actually stood.
We replaced that patchwork with a custom-built forms platform designed around how the team actually works. At its heart are smart enquiry forms with fully editable fields, so the team can adapt questions, options and sections themselves as their courses evolve, without waiting on a developer for every change.
The real power is in the automation. When an enquiry comes in, a quote is sent out, and once accepted, the agreement email goes out automatically for the client to sign. As soon as it is signed, the invoice is generated in Xero without anyone lifting a finger. Each step flows into the systems that need it: Xero for invoicing and accounts, Gmail for confirmations and correspondence, and Kajabi for course access and content. No re-keying, no copy-and-paste, no missed steps between tools.
We also connected the platform to Safer Handling's own custom staff training allocation software, so the right trainers are matched to the right bookings as part of the same automated flow. What used to be a series of separate manual jobs now happens as one continuous, reliable process.
Replacing the N8N setup did more than remove manual work. With everything flowing through one purpose-built system, the team now has far better visibility: they can see every enquiry, its status and its next step in one place, and trust that the automation behind it has already done the heavy lifting.
The platform is fast, dependable and built to grow with the business. New forms, fields and automations can be added as Safer Handling's training offer expands, giving them a system that keeps pace with the company rather than holding it back.
